POSITION

 

The Human Resource (HR) Assistant is responsible for providing administrative support to the HR Manager by scheduling onboarding tasks, maintaining employee records, supporting the interview process, and managing communications for the HR department. This role is to serve as a contact between the HR department and the rest of the organization. The HR Assistant may be asked to prepare files and forms for new employees, update employment status and help new employees get access to the resources they need to do their job. This role involves performing tasks with a focus to grow our company’s talent pipeline and improve our sourcing tactics.

 

The ideal candidate will have a broad knowledge of Human Resources as well as general administrative responsibilities. He/She will be able to work autonomously and efficiently to ensure the end-to-end running of HR projects and operations.

 

ESSENTIAL FUNCTIONS 

  • Assist with day-to-day operations of the HR functions and duties

  • Provide clerical and administrative support to Human Resources Manager

  • Coordinate HR projects (meetings, training, surveys, etc.)

  • Respond to employee requests regarding human resources issues, rules, and regulations

  • Properly handle complaints and grievance procedures

  • Redirect HR related calls or distribute correspondence to the appropriate person on the team

  • Perform administrative duties, such as maintaining employee database and sorting emails for the HR department

  • Support the recruitment/hiring process by sourcing candidates, performing background checks, assisting in shortlisting, reference checks, etc.

  • Coordinate orientation and training sessions for new employees

  • Perform orientations, onboarding and update records with new hires

  • Schedule meetings, interviews, HR events, etc. and maintain the team’s agenda

  • Maintain proper records of employee attendance and leave balances

  • Assist HR Manager in policy formulation, hiring and staff update announcements

  • Produce and submit reports on general HR activity

  • Assist in ad-hoc HR projects, like collection of employee feedback

  • Ensure smooth communication with employees and timely resolution to their queries

  • Manage employee training portal

  • Assist staff with Performance Management software as requested

  • Assist HR Manager with creating standard operation procedures and practices for the HR department

  • Support other functions as assigned

QUALIFICATIONS

 

Required

  • Associate degree in HR or a related field; or work experience equivalent

  •  Three years’ experience in an administrative role

  • Strong verbal and written communication skills
     

Additional Qualifications

  • Experience working in general human resources or recruitment preferred

  • Must be able to think critically

  • Professionally supportive of UWBG’s mission.

  • Proven experience as an HR Assistant, Staff Assistant or relevant human resources/administrative position preferred

  • Fast computer typing skills (MS Office, in particular)

  • Hands-on experience with an HRIS or HRMS preferred

  • Familiarity with ATS software preferred

  • Basic knowledge of labor laws

  • Excellent organizational skills

WORK ENVIRONMENT

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, etc. This position will be primarily based out of the central UWBG office, hybrid work is possible with Manager approval.
 

EXPECTED WORK HOURS

This is a Part-Time position, Monday through Friday, maximum 25 hours per week. Flexible daily hours may be available year-round.  Daily work schedule and any flextime hours must be approved by the Human Resource Manager.
 

PHYSICAL REQUIREMENTS

The employee is regularly required to communicate clearly, and exchange accurate information interpersonally or through communication devices. Must be able to learn new systems and procedures, prepare and analyze data and figures, constantly operate a computer and other standard office machinery. The position requires occasional movement throughout the office to access files, papers, or move supplies weighing up to 25lbs. Must be open to work-related travel in the Central Kentucky area as requested.

PRE-EMPLOYMENT SCREENING REQUIREMENTS

Any candidate offered a position may be required to pass pre-employment screenings as mandated by UWBG. These screenings may include a national background check, and Motor Vehicle Record (MVR) review.

BENEFITS

Our robust benefits package includes accrued PTO, and holiday pay, FSA eligible, 401(K) eligible after 1-year of service and 1,000 hours. Hourly payrate - $17.90-$21.78.
